Administration Manager

Friesens Corporation is located in Altona, Manitoba. The successful applicant will be required to work in the office. 

The Administration Manager is responsible for directing and overseeing administrative activities and managing various projects related to the business. Duties include process improvement, managing small team projects, defining the needs of stakeholders, preparing project plans, and implementing chosen initiatives.

The successful candidate will work from 8 AM to 4:30 PM, Monday through Friday.

– Post-Secondary Diploma/Degree (preference for commerce and business)
– At least 2 years of proven work experience in administration and project management
– Strong understanding of general technology, spreadsheets, project management tools, and analytics
– Superior verbal and written communication skills
– Able to grasp complex technical concepts quickly
– High stress tolerance and decision-making abilities
– Knowledgeable in data aggregation and reporting
– Advanced MS Excel skills preferred, including use of MS Queries and Visual Basic
– Experience with MS O365 (SharePoint, OneDrive, Power Automate, Stream, Teams)
– Experience/knowledge in purchasing, job costing, basic accounting principles
– Experienced in quoting and pricing systems
– Knowledgeable in the various aspects of project management
– Flexible and able to prioritize and manage multiple tasks simultaneously in an efficient and effective manner
– Able to work primarily out of our Altona offices

Duties & Responsibilities:
– Supervise a small team which will be responsible for administrative support for Yearbook Division, including processing of contracts and customer incentive tracking
– Manage business improvement projects
– Oversee invoicing data preparation, ecommerce and other accounting related functions
– Assist in, and sometimes lead, major projects with multiple team members
– Oversee OFIs and the online store
– Oversee YB Invoicing in conjunction with Corp Invoicing Manager
– Manage vendor relationships for various products
– Create, update, and maintain pricing models and processes
– Liaise with other departments to facilitate business (i.e. Estimating, Accounting, Purchasing, etc.)
– Contribute to the development, implementation and execution of Friesens strategic plans
– Utilize the Friesens Performance Management system
– Participate in CI training and leadership
– Meet monthly with individual team project members
– Create, update and maintain departmental procedures, processes, and associated material including manuals
– Research and implement potential workflow efficiencies
– Manage reporting needs for yearbook division
– Provide VP with routine and ad-hoc reporting
– Assist in the analysis of the product development process to determine viability
– Present project initiatives to other stakeholder groups both in-person and over conference calls
– Lead, coach and motivate your team and project teams to support the achievement of targets
– Assist in various forms of research and outcome analysis
– Engage directly with customers when required
– Assist in the management of budgets and expenditures
– Misc. projects as assigned
– Manual dexterity required to use desktop computer and peripherals
– Overtime as required
