Payroll & Benefits Specialist

Key Accountabilities

Payroll Processing:
– Responsible for full-cycle payroll processing (hourly, salary, commission, incentives) bi-weekly, for 350+ employees in MB and ON.
– Employee life-cycle: set up new employees in the payroll system, coordinate onboarding process with other departments, maintain employee information and files; process exits and resignations, coordinate offboarding process with other departments, process ROE.
– Calculate and process retro payments, adjustments, garnishments, regular wage increases, incentives and bonuses and manual cheques.
– Self-audit every payroll. Identify and rectify errors quickly and transparently.
– Manage government remittances and reconciliation.
– Prepare journal entries and adjustments, balance payroll-related GL Accounts.
– Prepare documents to support the budgeting and audit processes.
– Prepare regular and ad hoc reports for internal use and external compliance.
– Perform all year-end tasks, including preparation of T4s.

BENEFITS – Group and RRSP
– Employee benefit life-cycle management: enrolment and explanation of benefits, updating beneficiaries and personal information, discontinuation/transfer of benefits on exit from the company.
– Assist employees with claims, benefit provider issues, coverage questions.
– Assist with communication and roll out of new benefits/plans.
– Administer and coordinate WCB and disability claims and oversee the Return to Work Process.
– Assist with the implementation of health and wellness initiatives.

Other:
– Writes policy, procedures and training material related to payroll and benefits, trains managers and employees on using the payroll system effectively.
– Works with vendors and HR Director to identify and implement enhancements to benefits and processes.
– Keep current with common Human Resources practices, legislation and contributes ideas to improve the attraction, retention and satisfaction of employees.
– Works together with the rest of the HR team on initiatives with broad impact to the organization.

Required Skills:
3-5 years experience in processing payroll for 250+ individuals
Experience with computerized payroll systems is required. Familiarity with ADP WFN is a significant asset
Strong communicator in writing and interpersonal communication
Well-developed understanding of privacy legislation, confidentiality and discretion
Familiar with the employment legislation
Ability to professionally handle sensitive and confidential information

Required Experience:
Canadian Payroll Association, Payroll Compliance Practitioner certification is required
Intermediate to advanced Microsoft Office desktop application skills, especially Excel
An Admin Diploma or similar post-secondary would be an asset
An interest in achieving the CPHR designation is an asset
